Strategic resilience: Banca d'Alba's email compliance evolution with STORViX and Archivium.

The GDPR puts strict requirements on how corporations store personal information. For a financial institution such as Banca d'Alba, compliance is not just a legal duty but a responsibility to maintain trust among clients and stakeholders. To address GDPR compliance and email management, the bank partnered with STORViX and Archivium.

The challenge

Banca d'Alba faced a significant challenge in managing its corporate email system in compliance with European GDPR regulations. The issue was further complicated by the need to ensure the long-term preservation of communications from former associates, a requirement set by the Data Protection Authority.

The decision

Recognising Banca d'Alba's data storage and compliance needs, Naquadria, a leading IT advisor and data centre, took an innovative approach. By identifying STORViX's flexible and secure storage and Archivium's digital preservation expertise, Naquadria brought the two European companies together on 28 September 2023 in a partnership that aligned with the bank's requirements.

"In discussions with Banca d'Alba, I instantly understood the challenges of regulatory compliance, which is a major concern in Italy. Since I knew about STORViX's flexible solution and Archivium's expertise in data security, I saw a possibility to connect the two companies to offer a seamless and secure solution to address Banca d'Alba's situation. I am proud to have played a key role in facilitating this successful collaboration." Alessandro Solari, CEO of Naquadria.

The solution

Following an in-depth analysis of Banca d'Alba's digital archive, STORViX and Archivium put together a comprehensive solution built around the STORViX Vaulting System, hosted in a dedicated Tier 3 data region in Piacenza, Italy. The system combines technology from both companies to uphold data retention principles, integrity, availability and usability, and it automates the deletion of emails as recommended by the Data Protection Authority.

The solution incorporates clear policies and advanced digital preservation systems that comply with the GDPR and protect both the bank and its employees in case of post-termination litigation. Securely archiving personal data also gives Banca d'Alba's customers added assurance. The automated approach to email retention ensures that only essential and compliant data is preserved.

The outcome

The implementation underscores Banca d'Alba's proactive stance, establishing it as one of the pioneering Italian banks to address electronic mail management systematically under current regulations. That positions the bank at the forefront of cooperative credit banks and of Italian banking establishments generally.

Through clear policies and advanced digital storage systems, Banca d'Alba now maintains a secure and compliant corporate communication environment that answers the demands of the contemporary business landscape. The project has led to a continuing collaboration between Banca d'Alba, STORViX and Archivium to keep the bank's email management system successful, including staying current with the evolving GDPR and adapting the solution to maintain compliance.
